Preconstruction & Project Coordinator

Reports to: Director of Construction, Commercial Division


Position Summary

The Preconstruction & Project Coordinator provides direct support to the Director of Construction, Commercial Division, working across both preconstruction and project management functions. This role is the connective tissue between estimating, contract administration, and active project execution, keeping bids, submittals, budgets, and job documentation organized and moving on schedule. The position is weighted toward project management support, with regular involvement on the preconstruction side as bid volume requires.


Key Responsibilities

  • Project Management Support
  • Support project managers and the Director with day-to-day project administration, including submittals, RFIs, change orders, and closeout documentation
  • Maintain accurate, up-to-date project files and job cost documentation in Sage 100 Contractor
  • Track subcontractor and vendor documentation (COIs, contracts, lien waivers) for active jobs
  • Assist in monthly billing and AR coordination with accounting
  • Coordinate scheduling logistics and maintain project schedules/trackers
  • Serve as a point of contact for routine subcontractor and vendor communication
  • Preconstruction Support
  • Assist with bid preparation, assembling proposal packages, gathering subcontractor quotes, and organizing bid documents
  • Support takeoff and estimating workflows in ProEst as volume requires
  • Maintain bid calendar and tracking log for outstanding and awarded proposals
  • Help build and maintain standardized templates, cost code structures, and bid libraries
  • Direct Support to the Director
  • Act as a direct extension of the Director, managing recurring administrative workload so the Director's time stays focused on strategy, estimating oversight, and client/GC relationships
  • Prepare reports, summaries, and documentation as requested
  • Flag issues and gaps proactively rather than waiting to be asked


Qualifications

We're open to a range of experience levels for this role. Recent graduates with strong organizational skills and initiative are encouraged to apply alongside candidates with prior coordination or project administration experience.

  • Experience in commercial construction, preconstruction, project coordination, or project administration is a plus but not required
  • Familiarity with construction accounting/job costing software (Sage 100 Contractor preferred) and estimating software (ProEst preferred) is a plus
  • Strong organizational skills with high attention to detail and follow-through
  • Comfortable managing multiple active workstreams and shifting priorities
  • Clear written and verbal communication with subcontractors, vendors, and internal staff
  • Proficiency with Bluebeam and general MS Office / document management tools


What Success Looks Like

This person operates with real ownership over their lane, not heavily supervised, but reliable enough that things don't fall through the cracks. Success is measured by whether the paperwork, documentation, and coordination work stands up on its own: bids go out complete, project files stay clean and current, and the Director can hand off recurring work with confidence it's handled.
